Integrate Jiwa, an order tracking system, with HubSpot to streamline customer relationship management and data handling processes.

Project Overview

Icestart (pseudo name) sought to enhance customer data management by integrating Jiwa, its order tracking system, with HubSpot. The project involved synchronizing large datasets from Jiwa to HubSpot, ensuring that all critical business data, such as contacts, companies, orders, products, and line items, were seamlessly integrated.

Challenges

1. Complexity of Data Integration

One of the challenges in the integration process was handling the vast data sets. The primary properties further had line items. These line items had to be accurately mapped to their corresponding fields in HubSpot. Some of the data points in those line items were missing, such as date, without which it became tough to fetch items using the data range.

2. Volume of Data  

Each property in Jiwa had several associated line items, leading to increased requests sent to HubSpot. This high volume of requests caused delays in data integration, as Jiwa needed help to handle the large number of requests.

3. System Downgrading

To address the issue of excessive requests, the system was downgraded to reduce the number of simultaneous requests sent to HubSpot. This adjustment aimed to prevent system overloads and ensure that Jiwa could manage the integration process. However, this approach also led to slower synchronization times, requiring additional measures to optimize the process.

Solutions Implemented

Date Range Filtering

Computan integration experts implemented a date range filter, which allowed them to segment the data based on specific time frames. This action reduced the number of requests processed by the system. By doing so, the system could handle the data more efficiently, speeding up the integration process without overwhelming Jiwa.

Custom Workflows for Issue Tracking

Icestart is also required to track and report any issues within the system during and after the integration process. To meet this requirement, Computan's HubSpot integration developers set up custom workflows that automatically generated daily email reports, ensuring that Icestart remained informed and could address potential problems promptly.

Results

The integration of Jiwa with HubSpot for Icestart successfully streamlined their data management processes despite the initial challenges. By implementing strategic solutions such as date range filtering and custom issue tracking workflows, the integration developers overcame the hurdles of large datasets and complex data mapping.
